Event services agreement template: clause-by-clause outline

Sample starting wording for each clause. Replace the text in [brackets] with your details.

  1. Event details

The event is [name] on [date] at [venue], for approximately [number] guests.

  2. Services

The Supplier will provide [planning, AV, staging, staff] as set out in the proposal.

  3. Fees and deposit

The total fee is [amount]. A [30]% deposit is due on signing and the balance [14] days before the event.

  4. Cancellation

If the Client cancels more than [60] days before, the deposit is retained; within [30] days, [100]% is payable.

  5. Force majeure

Neither party is liable for failure caused by events beyond its reasonable control. The parties will first try to reschedule.

  6. Insurance and safety

The Supplier will hold public liability insurance of at least [amount] and follow the venue’s safety rules.

What to check before you sign

  • Is the cancellation scale fair at each stage?
  • Does force majeure allow rescheduling rather than only cancellation?
  • Are venue rules and insurance requirements flowed down?

How to send an event services agreement for e-signature

  1. Draft or upload it. Use the outline above with your own wording, upload an existing document, or save it as your organisation’s template.
  2. Check it against your playbook. Points outside your positions are flagged, and approval rules route it to Legal when needed.
  3. Send it by email. Signers get a plain-language review and a secure link, sign on any device in the order you set, and can suggest changes as tracked changes.
  4. Keep the signed PDF. Everyone receives it with a certificate of completion, and key dates go to Upcoming with reminders.

Event services agreement template: frequently asked questions

What happens if an event is cancelled for reasons outside anyone’s control?

The force majeure clause decides it. Good clauses provide for rescheduling and say how deposits are treated.

Do event suppliers need insurance?

Most venues require public liability insurance. Put the minimum amount in the contract.

Is an electronically signed event services agreement legally binding?

In most countries, yes. E-signatures are recognised for commercial contracts under laws such as the ESIGN Act (US), eIDAS (EU), the Electronic Communications Act (UK) and the Information Technology Act (India). econtracts.ai adds a certificate of completion with each signer’s identity check and a fingerprint of the signed content.

Can I get an event services agreement I received reviewed?

Yes. Upload it to econtracts.ai and you get a plain-language review: key dates, money and points to check, each quoting the clause it comes from.
